Cranfield Village Hall and its trustees are committed to protecting and respecting your privacy and will only use your personal information to provide you with the services that you have requested from us.

This policy is intended to explain when and why we collect personal information about people who visit our website, complete our booking forms or join our 200 club and describes how we use this data and how we keep it secure.

Cranfield village hall obtains information about you when you use our website to contact us about the services that we provide.

The information that is collected for booking the hall will include your name, address, email address, phone number, and specific details of the purpose and requirements of the booking itself.   Please note that no financial information will be collected as part of this process.

How is this information used​

We will use your information to:

  • ​reserve the hall for your event
  • ensure that your specific requirements are catered for
  • seek your views or comments on the services that we provide
  • notify you of changes to our services, contracts or policies, and
  • send you communications which you have requested and that may be of interest.​

We review our retention periods for personal information on a regular basis. If you complete a booking form we will hold your personal information on our systems for a period of 12 months following the date of your event to ensure that our health and safety obligations are met, after which time it will be destroyed.

Who has access to this information

Your information will only be accessed by the Village Hall trustees, their affiliates and associated third parties required to deliver the requirements of your event.

We will not sell or rent your information to third parties

We will not share your information with third parties for any purposes unless specifically requested by yourself or in order to conform with legal requests for information.

Third Party Service Providers working on our behalf

If requested as part of the booking form we will pass your information to our third-party service providers, agents subcontractors and other associated organisations for the purposes of completing tasks and providing services to you on our behalf. However, when we use third party service providers, we disclose only the personal information that is necessary to deliver the service and we have a contract in place that requires them to keep your information secure and not to use it for their own direct marketing purposes.
